Set Up Email in Outlook

Learn how to configure your Waymaker email in Microsoft Outlook on Windows, Mac, or mobile.
Before You Start
You'll need:
- Your email address (e.g., you@yourcompany.com)
- Your email token (found in Commander > Email > Settings > Devices tab)
Important: Your email token is different from your Waymaker password. Use the token only for email app setup.
Finding Your Email Token
- Open Commander at commander.waymakerone.com
- Go to your email inbox
- Click the Settings gear icon
- Select the Devices tab
- Click Reveal Token and copy it
Outlook for Windows (Microsoft 365)
Steps
- Open Outlook
- Go to File > Add Account
- Enter your email address
- Click Advanced options
- Check Let me set up my account manually
- Click Connect
- Select IMAP
- Enter incoming mail settings:

- Click Next
- Enter outgoing mail settings:

- Enter your email token as the password
- Click Connect
- Click Done when complete
Older Versions of Outlook (2016/2019)
- Open Outlook
- Go to File > Account Settings > Account Settings
- Click New
- Select Manual setup and click Next
- Select POP or IMAP and click Next
- Enter your information:
- Your Name: Your display name
- Email Address: Your full email address
- Account Type: IMAP
- Incoming mail server:
imap.waymakerone.com - Outgoing mail server:
smtp.waymakerone.com - User Name: Your full email address
- Password: Your email token
- Click More Settings
- Go to the Outgoing Server tab:
- Check My outgoing server (SMTP) requires authentication
- Select Use same settings as my incoming mail server
- Go to the Advanced tab:
- Incoming server (IMAP): 993, SSL
- Outgoing server (SMTP): 465, SSL
- Click OK
- Click Next and Finish
Outlook for Mac
Steps
- Open Outlook
- Go to Outlook > Preferences > Accounts
- Click the + button
- Select New Account
- Enter your email address
- Click Continue
- If prompted to choose account type, select IMAP
- Enter settings:
- Incoming Server:
imap.waymakerone.com - Use SSL: Yes (checked)
- Port: 993
- Outgoing Server:
smtp.waymakerone.com - Use SSL: Yes (checked)
- Port: 465
- Username: Your full email address
- Password: Your email token
- Incoming Server:
- Click Add Account
Outlook Mobile App (iOS/Android)
Steps
- Download Microsoft Outlook from the App Store or Play Store
- Open Outlook
- Tap Add Account (or tap your profile > Add Account)
- Enter your email address
- Tap Continue
- When prompted, select IMAP
- Enter your details:
- Display Name: Your name
- Description: Waymaker
- Configure IMAP settings:

- Tap the checkmark to complete setup
New Outlook (Windows 11)
The new Outlook app on Windows 11 uses a simplified setup:
- Open New Outlook
- Click Add account
- Enter your email address
- Click Advanced setup
- Select IMAP
- Enter your email token when prompted
- Configure servers if needed:
- Incoming:
imap.waymakerone.com:993(SSL) - Outgoing:
smtp.waymakerone.com:465(SSL)
- Incoming:
- Click Connect
Troubleshooting
"We couldn't sign you in"
- Make sure you're using your email token, not your Waymaker password
- Check that you selected IMAP, not Exchange/Microsoft 365
- Verify server addresses are correct
"The connection to the server failed"
- Check your internet connection
- Verify SSL/TLS is enabled
- Confirm ports are correct (993 for IMAP, 465 for SMTP)
- Try temporarily disabling your firewall/antivirus
"Authentication failed"
- Go to Commander > Email > Settings > Devices
- Click Reset Token to generate a new token
- Update the password in Outlook with the new token:
- Windows: File > Account Settings > Account Settings > Change
- Mac: Outlook > Preferences > Accounts > Select account
Sent Emails Not in Sent Folder
Outlook might be saving sent emails locally instead of on the server:
- Go to File > Account Settings > Account Settings
- Double-click your Waymaker account
- Click More Settings > Sent Items
- Select Save sent items in the Sent Items folder on the server
Calendar and Contacts Not Syncing
IMAP only syncs email. For calendar and contacts:
- Use the Outlook mobile app with ActiveSync
- Or sync calendar/contacts separately using CalDAV/CardDAV
Tips
Organize with Folders
Outlook syncs your server folders. Create folders in Commander and they'll appear in Outlook.
Set Up Rules
Create rules to automatically organize incoming email:
- Go to Home > Rules > Create Rule
- Set conditions and actions
- Rules run on your computer, not the server
Offline Access
Outlook downloads emails for offline reading. Configure how much to keep:
- Go to account settings
- Adjust Mail to keep offline setting
