Inviting users to WaymakerOS is straightforward. Send an email invitation, and they'll create their account and join your organization. Each user requires a license seat.

Inviting users to WaymakerOS is straightforward. Send an email invitation, and they'll create their account and join your organization. Each user requires a license seat.
Sending Invitations
From WaymakerOne
- Go to WaymakerOne > Users
- Click Invite Users
- Enter email addresses (one per line, or comma-separated)
- Select their role (Admin or Member)
- Click Send Invitations
Invitees receive an email with a link to join your organization.
Bulk Invitations
For large teams:
- Go to WaymakerOne > Users > Bulk Invite
- Upload a CSV file with columns: email, role
- Review the list
- Click Send All Invitations
What Invitees See
When someone receives an invitation:
- They click the link in the email
- If they're new to WaymakerOS, they create an account
- If they already have an account, they join your organization
- They're taken to Commander and can start working
Managing Pending Invitations
View and manage invitations from WaymakerOne > Users:
- Pending - Invitation sent, not yet accepted
- Resend - Send the invitation email again
- Revoke - Cancel the invitation before it's accepted
Invitations expire after 7 days. Resend if needed.
User Roles
When inviting, choose between:
Admin
- Full access to organization settings
- Can invite and remove users
- Can manage teams and workspaces
- Can configure domains and email
Member
- Access to assigned workspaces
- Can use all productivity tools
- Cannot change organization settings
You can change roles later from WaymakerOne > Users.
Assigning to Teams
After users join, add them to teams:
- Go to WaymakerOne > Teams
- Select a team
- Click Add Members
- Select users from your organization
- Click Add to Team
Or invite directly to a team:
- When inviting users, check Add to team
- Select the team(s)
- They'll be added to those teams when they accept
License Requirements
Each user requires an active license seat:
- Check your available seats in WaymakerOne > Organization > Billing
- If you're out of seats, add more before inviting
- New seats are prorated for the current billing period
Removing Users
When someone leaves:
- Go to WaymakerOne > Users
- Find the user
- Click the menu (...) and select Remove
- Confirm removal
Removed users:
- Lose access immediately
- Their license seat is credited to your next bill
- Their data is retained for 30 days
Best Practices
Start with Core Team
Invite your core team first. Let them explore the platform before bringing on everyone.
Use Descriptive Emails
The invitation email includes your organization name. Make sure it's recognizable so invitees know the invitation is legitimate.
Set Expectations
Tell your team what to expect before sending invitations:
- What WaymakerOS is and why you're using it
- What tools they'll use (email, tasks, docs, etc.)
- Who to contact for help
Assign to Teams
Add users to teams immediately so they can access the right workspaces and shared inboxes.
Frequently Asked Questions
What if someone doesn't receive the invitation?
- Check their spam folder
- Verify the email address is correct
- Resend the invitation from WaymakerOne > Users
Can I customize the invitation email?
Not currently. The invitation includes your organization name and a join link.
Can users be in multiple organizations?
Yes. Users can accept invitations to multiple organizations and switch between them.
How do I make someone an admin after they've joined?
Go to WaymakerOne > Users, find the user, click the menu (...), and select Change Role.
