Scheduling Meetings

Learn about Scheduling Meetings in WaymakerOS.

Set up meetings with time, participants, agenda, and calendar integration.

Creating a meeting

  1. Click New Meeting in the Meetings tool
  2. Fill in:
    • Title — meeting name
    • Date and time — when the meeting starts
    • Duration — how long (15, 30, 45, 60, 90 minutes)
    • Template — optionally select a meeting template for the agenda
  3. Click Create

Adding participants

  1. Open the meeting
  2. Click Add Participants
  3. Search for team members by name
  4. Select their role in the meeting:
    • Organiser — can edit the meeting and manage settings
    • Presenter — has speaking priority
    • Participant — standard attendee

Participants receive a notification with the meeting details and join link.

Building an agenda

The agenda defines the structure of the meeting:

  1. Click Add Agenda Item
  2. Enter the topic
  3. Set a time allocation (e.g., 10 minutes)
  4. Optionally assign a presenter for that item
  5. Reorder items by dragging

During the meeting, the agenda appears as a checklist — mark items as discussed to track progress.

Calendar integration

Meetings integrate with your Waymaker Calendar. When you create a meeting, it appears on your calendar and your participants' calendars.

Joining a meeting

When it's time for the meeting:

  1. Open the meeting from the Meetings tool or from a calendar notification
  2. Click Join Call
  3. The video call opens in a built-in window

Call controls

  • Mute/unmute microphone
  • Camera on/off
  • Screen share — share your screen with participants
  • Chat — text chat alongside the video
  • Record — start recording (see Recordings)
  • Leave — end your participation

Meeting notes

Take notes during the meeting directly in the meeting view. Notes are saved and visible to all participants after the meeting.

After the meeting

Once the meeting ends:

  • Notes are saved permanently
  • Recordings are processed and available for playback
  • Transcription is generated (if enabled)
  • Action items can be extracted and assigned as tasks
