Connect your domain to WaymakerOS to send professional email from your company address.

Overview

Adding your domain lets you:

  • Send and receive email from addresses like you@yourcompany.com
  • Create shared inboxes (support@, sales@, hello@)
  • Run email campaigns from your domain
  • Collect form responses to your domain

Before You Start

You'll need:

  • Admin access to your domain registrar (GoDaddy, Cloudflare, Namecheap, etc.)
  • Admin access to WaymakerOS
  • About 15-30 minutes (DNS changes can take time to propagate)

Adding Your Domain

Step 1: Enter Your Domain

  1. Go to WaymakerOne > Email > Domains
  2. Click Add Domain
  3. Enter your domain name (e.g., yourcompany.com)
  4. Click Add

WaymakerOS will generate the DNS records you need.

Step 2: Add DNS Records

You'll see a list of DNS records to add. These include:

  • MX records - Route email to WaymakerOS
  • SPF record - Authorize WaymakerOS to send on your behalf
  • DKIM records - Cryptographically sign your emails
  • DMARC record - Set your email policy

Copy each record and add it to your domain registrar.

See DNS Records Guide for detailed instructions.

Step 3: Verify Your Domain

After adding DNS records:

  1. Return to WaymakerOne > Email > Domains
  2. Click Verify next to your domain
  3. WaymakerOS checks your DNS records
  4. If everything is correct, your domain shows as "Verified"

DNS changes can take 15 minutes to 48 hours to propagate. If verification fails, wait and try again.

Verification Status

Your domain can be in one of these states:

StatusMeaning
PendingDNS records not yet detected
PartialSome records found, others missing
VerifiedAll records correct, ready to use
ErrorRecords incorrect, see details

Multiple Domains

You can add multiple domains to your organization:

  • Use different domains for different purposes
  • Maintain old domains during a rebrand
  • Support multiple business units

Each domain requires its own DNS configuration.

Subdomain Email

You can also use subdomains:

  • Add "mail.yourcompany.com" as a domain
  • Create addresses like support@mail.yourcompany.com
  • Useful if you can't modify your main domain's MX records

Troubleshooting

DNS Records Not Found

  • Wait 15-30 minutes for propagation
  • Double-check records are added correctly
  • Verify you're modifying the right domain at your registrar

Verification Keeps Failing

  • Check for typos in DNS records
  • Ensure you're adding records to the correct DNS zone
  • Contact your domain registrar's support if unsure

Already Have MX Records

If you're already using email on this domain:

  1. Note that adding MX records will redirect email to WaymakerOS
  2. Plan your migration carefully
  3. Consider using a subdomain during transition

Best Practices

Test with a Subdomain First

Before moving your main domain:

  1. Add a test subdomain (e.g., test.yourcompany.com)
  2. Verify it works correctly
  3. Then migrate your main domain

Document Your Changes

Keep a record of:

  • What DNS records you added
  • When you made changes
  • Previous values (in case you need to revert)

Notify Your Team

Before changing MX records:

  • Warn your team about potential brief email disruption
  • Plan the change during low-traffic hours
  • Have IT support available if needed

Frequently Asked Questions

How long does verification take?

Usually 15-30 minutes. Occasionally up to 48 hours depending on your DNS provider.

Can I use my domain if I'm already using Google or Microsoft email?

Yes, but you'll need to migrate your email. Adding MX records for WaymakerOS will redirect email away from your current provider. Plan your migration carefully.

What if I don't own a domain?

You can purchase a domain from any registrar (GoDaddy, Namecheap, Google Domains, Cloudflare) and then add it to WaymakerOS.

Can I remove a domain later?

Yes, go to WaymakerOne > Email > Domains, select the domain, and click Remove. This stops email delivery to that domain.
