Bulk Task Operations

Managing tasks one at a time is fine for small projects, but when you're working with dozens or hundreds of tasks, individual editing becomes inefficient. Bulk operations let you select multiple tasks at once and perform actions like updating priority, changing assignees, moving to different sections or layers, and more—saving hours of repetitive work.

Overview

Managing tasks one at a time is fine for small projects, but when you're working with dozens or hundreds of tasks, individual editing becomes inefficient. Bulk operations let you select multiple tasks at once and perform actions like updating priority, changing assignees, moving to different sections or layers, and more—saving hours of repetitive work.

This guide teaches you how to select multiple tasks using various selection techniques, perform bulk edits efficiently, move and organize tasks in bulk, handle bulk deletions safely, import and export tasks via CSV, and apply best practices for large-scale task management.

Prerequisites

  • A Waymaker account with access to taskboards

  • Editor or Admin permissions on the taskboard (to perform bulk edits)

Selecting Multiple Tasks

Bulk operations start with selection. Waymaker provides several methods to select multiple tasks quickly.

Method 1: Click to Select Individual Tasks

Basic Selection:

  1. In List View or Kanban View, click the checkbox on a task card
  2. Task is highlighted (usually with a blue border or checkmark)
  3. Click checkboxes on additional tasks to add them to selection
  4. Selected task count appears: "5 tasks selected"

Deselecting:

  • Click the checkbox again to deselect a task
  • Or click "Deselect All" to clear entire selection

Method 2: Shift+Click for Range Selection

Select a Range of Tasks:

  1. Click the checkbox on the first task in the range
  2. Hold Shift key
  3. Click the checkbox on the last task in the range
  4. All tasks between first and last are selected automatically

Example:

  • Click task #5
  • Shift+Click task #12
  • Tasks #5, #6, #7, #8, #9, #10, #11, #12 are all selected (8 tasks)

Use Case:

  • Selecting all tasks in a completed section to archive
  • Selecting all tasks in a specific layer
  • Selecting tasks with similar properties (if sorted/filtered)

Method 3: Ctrl+Click (Cmd+Click) for Multi-Select

Select Non-Consecutive Tasks:

  1. Click the checkbox on the first task
  2. Hold Ctrl (Windows/Linux) or Cmd (Mac)
  3. Click checkboxes on additional tasks (not necessarily adjacent)
  4. All clicked tasks are added to selection

Example:

  • Click task #3
  • Ctrl+Click task #7
  • Ctrl+Click task #15
  • Ctrl+Click task #22
  • Tasks #3, #7, #15, #22 are selected (4 non-consecutive tasks)

Use Case:

  • Cherry-picking specific tasks across different sections
  • Selecting tasks by visual inspection (e.g., all high-priority tasks scattered across board)

Method 4: Select All

Select All Visible Tasks:

  1. Click the "Select All" checkbox (usually in the toolbar or section header)
  2. All tasks currently visible on the board/view are selected
  3. If filtered, only filtered tasks are selected

Keyboard Shortcut:

  • Ctrl+A (Windows/Linux) or Cmd+A (Mac)

Select All in Section:

  • In Kanban view, click "Select All" checkbox in section header
  • Selects only tasks in that specific section

Deselect All:

  • Click "Select All" again to toggle off
  • Or press Escape to clear selection

Method 5: Filter + Select All

Select All Tasks Matching Criteria:

  1. Apply filters (e.g., Assignee = John, Priority = High)
  2. Only matching tasks appear
  3. Click "Select All"
  4. All filtered tasks are selected

Use Case:

  • Select all of John's tasks to reassign while he's on vacation
  • Select all urgent tasks to review in a meeting
  • Select all tasks in a specific layer to move to another layer

Selection Indicators

Visual Feedback:

  • Checkbox selected: Checkmark appears in task checkbox
  • Task highlight: Task card has blue/colored border
  • Selection count: Toolbar shows "X tasks selected"
  • Bulk actions toolbar: Appears when ≥1 task is selected

Bulk Editing Task Properties

Once you've selected multiple tasks, you can edit their properties all at once.

Opening the Bulk Edit Dialog

After selecting tasks:

  1. With multiple tasks selected, click "Bulk Edit" button in the toolbar
  2. Bulk edit dialog opens, showing all editable properties
  3. Make changes to any property
  4. Click "Apply" or "Save Changes"
  5. All selected tasks are updated simultaneously

Keyboard Shortcut:

  • Select tasks → Press E → Opens bulk edit dialog

Bulk-Editable Properties

Properties You Can Change in Bulk:

1. Priority

  • Change all selected tasks to same priority level
  • Example: Set 15 urgent tasks back to High after crisis resolved

2. Assignee

  • Assign all selected tasks to a single person
  • Or change from one assignee to another
  • Example: Reassign 20 tasks from John → Sarah

3. Due Date

  • Set same due date for all tasks
  • Or shift all due dates by X days (e.g., push everything back 1 week)

4. Section/Status

  • Move all tasks to a different workflow section
  • Example: Move 10 "In Progress" tasks to "Blocked" when waiting on dependency

5. Layer

  • Change the layer for all selected tasks
  • Example: Move 25 tasks from "Sprint 1" → "Sprint 2"

6. Tags

  • Add tags to all selected tasks
  • Remove tags from all selected tasks
  • Example: Tag 15 tasks with "needs-review"

7. Estimated Time/Effort

  • Set same time estimate for similar tasks
  • Example: Set 30 similar tasks to "2 hours" each

8. Custom Fields

  • Update custom field values in bulk
  • Example: Set "Department" = "Marketing" for 20 tasks

Checkboxes:

  • Only checked properties will be updated
  • Unchecked properties remain unchanged

Example:

  • Check Priority → Set to High
  • Check Assignee → Set to Sarah
  • Leave Due Date unchecked
  • Result: Priority and Assignee update, Due Date stays as-is for each task

Partial Updates vs. Complete Overwrites

Additive Actions:

  • Add Tags: Adds tags to existing tags (doesn't remove current tags)
  • Add Watchers: Adds watchers without removing existing ones

Overwrite Actions:

  • Set Priority: Replaces each task's priority (overwrites)
  • Set Assignee: Replaces assignee (overwrites, doesn't add second assignee)
  • Set Due Date: Replaces due date (overwrites)
  • Remove Tags: Removes specified tags from all selected tasks

Moving Tasks in Bulk

Bulk Move to Different Section

Drag-and-Drop (Kanban View):

  1. Select multiple tasks in a section
  2. Drag one of the selected tasks to a different section
  3. All selected tasks move together to the new section

Bulk Edit Method:

  1. Select tasks
  2. Click "Bulk Edit"
  3. Check "Section" property
  4. Select new section from dropdown
  5. Click "Apply"
  6. All tasks move to the new section

Use Case:

  • Moving all "In Progress" tasks to "Done" at end of sprint
  • Moving blocked tasks from "In Progress" to "Backlog"

Bulk Move to Different Layer

Via Bulk Edit:

  1. Select tasks
  2. Click "Bulk Edit"
  3. Check "Layer" property
  4. Select new layer from dropdown
  5. Click "Apply"
  6. All tasks move to the new layer

Example:

  • Move 30 incomplete tasks from "Sprint 1" → "Sprint 2" when sprint ends
  • Move all tasks from "Q3 Goals" → "Q4 Goals" layer

Layer Reassignment Rules:

  • Tasks must be compatible with target layer type
  • Child layer tasks can be moved to sibling layers
  • Moving to a layer also updates layer progress calculations

Bulk Move to Different Board (Copy/Paste)

Copy Tasks to Another Board:

  1. Select tasks on source board
  2. Click "Copy" or press Ctrl+C / Cmd+C
  3. Navigate to destination board
  4. Click "Paste" or press Ctrl+V / Cmd+V
  5. Tasks are duplicated to the new board

What Gets Copied:

  • Task name, description, priority, tags
  • Due date, estimated time
  • Checklists
  • Assignees (if they're members of destination board)

What Doesn't Get Copied:

  • Comments and activity history
  • Attachments (in some systems)
  • Unique task IDs (new IDs assigned)

Use Case:

  • Creating templates from existing tasks
  • Moving tasks between client boards
  • Duplicating recurring task sets

Bulk Reassignment

Reassigning to a Single User

Scenario: John is going on vacation. Reassign all his tasks to Sarah.

Steps:

  1. Filter tasks: Assignee = John
  2. Click "Select All" (all John's tasks selected)
  3. Click "Bulk Edit"
  4. Check "Assignee" property
  5. Select "Sarah Johnson" from dropdown
  6. Click "Apply"
  7. All John's tasks are now assigned to Sarah
  8. John and Sarah receive notifications

Distributing Tasks Across Team

Scenario: 20 unassigned tasks need to be distributed evenly across 4 team members.

Steps:

  1. Select the 20 unassigned tasks
  2. Click "Bulk Edit"
  3. Check "Assignee" property
  4. Waymaker may offer "Distribute Evenly" option (future feature)
  5. Or manually:
    • Select tasks 1-5 → Assign to Alice
    • Select tasks 6-10 → Assign to Bob
    • Select tasks 11-15 → Assign to Carol
    • Select tasks 16-20 → Assign to Dan

Workload Balancing Tip:

  • Check each person's current task count before bulk assigning
  • Use List View sorted by Assignee to see current distribution
  • Consider task complexity, not just count

Bulk Deletion

⚠️ WARNING: Bulk deletion is permanent. Deleted tasks cannot be recovered (unless your board has trash/recycle bin feature).

Safely Deleting Multiple Tasks

Before Deleting:

  1. Review selected tasks carefully
  2. Export as backup (see CSV export below)
  3. Confirm with team (if shared board)
  4. Check for dependencies (are other tasks dependent on these?)

Deletion Steps:

  1. Select tasks to delete
  2. Click "Delete" button (trash icon) in bulk actions toolbar
  3. Confirmation dialog appears: "Delete 15 tasks? This cannot be undone."
  4. Review list of tasks to be deleted
  5. Type "DELETE" to confirm (if required)
  6. Click "Confirm Delete"
  7. Tasks are permanently removed

Who Can Bulk Delete:

  • Task creators: Can delete their own tasks
  • Board Admin/Owner: Can delete any tasks on the board
  • Member: Can delete unassigned tasks or tasks they created

Common Bulk Deletion Use Cases

1. Cleaning Up Duplicates

  • Filter for duplicate task names
  • Select duplicates
  • Delete extras, keep one

2. Removing Completed Tasks

  • Filter: Status = Done, Completed Date > 90 days ago
  • Select all
  • Archive or delete (archive preferred if available)

3. Pruning Abandoned Tasks

  • Filter: No activity in 90 days, Status = Backlog
  • Review for relevance
  • Delete outdated or irrelevant tasks

4. Clearing Test Data

  • Select all tasks with "TEST" in name
  • Delete after testing phase

Archive Instead of Delete (If Available)

Archiving:

  • Moves tasks to archive (hidden from main board)
  • Keeps tasks recoverable
  • Doesn't count against active task limits
  • Can be restored later

When to Archive vs. Delete:

  • Archive: Completed tasks, old projects, historical reference
  • Delete: Duplicates, test data, truly irrelevant tasks

Importing Tasks from CSV

Preparing CSV File

CSV Format:

Task Name,Description,Priority,Assignee,Due Date,Section,Layer,Tags
"Design homepage","Create wireframe and mockup",High,john@example.com,2025-10-15,In Progress,Sprint 1,"design,frontend"

Required Columns:

  • Task Name (required)

Optional Columns:

  • Description, Priority, Assignee, Due Date, Section, Layer, Tags, Estimated Time, custom fields

CSV Guidelines:

  • Use UTF-8 encoding
  • Wrap fields with commas in quotes: "Task with, comma"
  • Dates in format: YYYY-MM-DD
  • Assignees: Use email addresses
  • Tags: Comma-separated in quotes: "tag1,tag2,tag3"

Importing CSV

Steps:

  1. Open the taskboard
  2. Click "Import" button (may be in Board Settings or toolbar)
  3. Click "Choose File" and select your CSV file
  4. Preview import: Waymaker shows first 10 rows
  5. Map CSV columns to task properties:
    • CSV Column Task Name → Waymaker Field Title
    • CSV Column Priority → Waymaker Field Priority
    • etc.
  6. Click "Import X tasks"
  7. Import runs (may take a few seconds for large files)
  8. Success message: "Successfully imported 50 tasks"

Import Options:

  • Create new tasks: Adds all tasks from CSV as new tasks
  • Update existing tasks: Matches by task ID or name, updates properties
  • Skip duplicates: If task name already exists, skip import

Handling Errors:

  • Invalid dates, unknown assignees, or formatting errors are flagged
  • You can fix errors and re-import
  • Or skip problematic rows

Use Cases for CSV Import

1. Migrating from Another Tool

  • Export tasks from Jira, Asana, Trello as CSV
  • Import into Waymaker

2. Bulk Task Creation

  • Create 100 tasks in Excel/Google Sheets
  • Import all at once instead of manual entry

3. Recurring Task Templates

  • Save recurring tasks as CSV template
  • Import monthly/quarterly to create new instances

Exporting Tasks to CSV

Exporting All Tasks

Steps:

  1. Navigate to the taskboard
  2. Click "Export" button (may be in Board Settings or toolbar)
  3. Select export format: "CSV"
  4. Choose export scope:
    • All tasks: Exports entire board
    • Visible tasks only: Exports filtered/searched tasks
    • Selected tasks only: Exports currently selected tasks
  5. Click "Export"
  6. CSV file downloads: [Board Name]-tasks-2025-10-10.csv

Exported Data Includes:

  • Task ID, Name, Description
  • Priority, Status, Section, Layer
  • Assignee, Due Date, Created Date, Completed Date
  • Tags, Estimated Time, Actual Time
  • Custom field values

What's NOT Exported:

  • Comments (usually)
  • Attachments
  • Activity history
  • Dependencies (may need special export)

Exporting Filtered Tasks

Export Specific Subset:

  1. Apply filters (e.g., Assignee = Sarah, Priority = High)
  2. Only filtered tasks are visible
  3. Click "Export" → "Visible tasks only"
  4. Only the 15 filtered tasks are exported

Use Case:

  • Export all of John's tasks to review workload
  • Export all urgent tasks for a meeting agenda
  • Export completed tasks for client reporting

Use Cases for CSV Export

1. Backup

  • Weekly export of all tasks as backup
  • Store CSV in Google Drive or similar

2. External Analysis

  • Export to Excel or Google Sheets for pivot tables, charts
  • Analyze task completion rates, time tracking, etc.

3. Reporting

  • Export tasks for client or executive reports
  • Format in Excel, create visuals

4. Data Migration

  • Export from Waymaker to import into another system

5. Archival

  • Export completed projects before deleting board
  • Long-term storage of historical data

Best Practices for Bulk Operations

✅ DO

1. Filter Before Bulk Selecting

  • Use filters to narrow down tasks first
  • Then "Select All" filters results
  • Reduces risk of accidentally selecting wrong tasks

2. Review Selection Count

  • Check "X tasks selected" before performing action
  • If you expect 10 but see 50, double-check your selection

3. Start Small

  • Test bulk operation on 2-3 tasks first
  • Verify results
  • Then apply to larger set

4. Export Before Bulk Delete

  • Export tasks as CSV backup before deleting
  • Safety net in case you delete wrong tasks

5. Communicate with Team

  • Notify team before major bulk changes (reassignments, deletions)
  • Especially important on shared boards

6. Use Undo (If Available)

  • Some systems offer "Undo" after bulk operations
  • Check if Waymaker supports this (Ctrl+Z may work)

❌ DON'T

1. Don't Bulk Delete Without Review

  • Never "Select All" → Delete without careful review
  • Easy to accidentally delete important tasks

2. Don't Bulk Reassign Without Checking Workload

  • Reassigning 50 tasks to one person may overwhelm them
  • Balance workload across team

3. Don't Ignore Notifications

  • Bulk edits trigger notifications to affected users
  • Be prepared for questions from team members

4. Don't Perform Bulk Operations on Filtered Views Without Realizing

  • If you have a filter active, "Select All" only selects filtered tasks
  • Clear filters first if you want to select truly all tasks

5. Don't Skip the Confirmation Dialog

  • Read confirmation messages carefully
  • They often show what will be affected

Keyboard Shortcuts for Bulk Operations

Selection:

  • Click: Select individual task
  • Shift+Click: Select range of tasks
  • Ctrl+Click (Cmd+Click Mac): Add/remove individual tasks from selection
  • Ctrl+A (Cmd+A Mac): Select all visible tasks
  • Escape: Deselect all

Actions:

  • E: Open bulk edit dialog (with tasks selected)
  • Delete: Delete selected tasks (with confirmation)
  • Ctrl+C (Cmd+C Mac): Copy selected tasks
  • Ctrl+V (Cmd+V Mac): Paste tasks

Troubleshooting

"Bulk edit didn't update all tasks"

Possible causes:

  • You don't have permission to edit some tasks
  • Some tasks are locked or in a read-only state
  • Conflicts with task dependencies or rules

Solution:

  1. Check which tasks failed: Look for error message listing failed tasks
  2. Review permissions: Ensure you have Edit permission on all selected tasks
  3. Edit failed tasks individually to see specific error

"I accidentally deleted tasks in bulk"

Possible causes:

  • Clicked Delete instead of Archive
  • Selected wrong tasks

Solution:

  1. Check for Undo: Press Ctrl+Z / Cmd+Z immediately
  2. Check Trash/Recycle Bin: Some systems have 30-day recovery
  3. Restore from Backup: If you exported CSV before delete, re-import
  4. Contact Support: Admins may be able to recover from database backup (within 24 hours usually)

Prevention:

  • Always export before bulk deleting
  • Use Archive instead of Delete when possible
  • Review confirmation dialog carefully

"Bulk import failed with errors"

Possible causes:

  • CSV formatting issues (encoding, special characters)
  • Invalid data (bad dates, unknown assignees)
  • File size too large

Solution:

  1. Check error messages: Often specific row numbers are listed
  2. Validate CSV format: Use UTF-8, proper date formats
  3. Fix errors in CSV and re-import
  4. Try smaller batches: Import 50 tasks at a time instead of 500

Common Mistakes to Avoid

❌ Mistake 1: Bulk editing with active filters without realizing

Problem: You have "Assignee = John" filter active, click "Select All", thinking you're selecting all tasks—but you're only selecting John's tasks

Solution:

  • Clear all filters first if you want to select truly all tasks
  • Or be aware of your filter state and use it intentionally

❌ Mistake 2: Forgetting to check "Apply this property" checkbox

Problem: You select 20 tasks, open bulk edit, change priority to High, but forget to check the "Priority" checkbox—nothing updates

Solution:

  • In bulk edit dialog, always check the checkbox next to properties you want to change
  • Only checked properties will be updated

❌ Mistake 3: Bulk reassigning without communication

Problem: Reassigning 30 tasks from John to Sarah without telling either of them

Solution:

  • Communicate before major reassignments
  • Send a message: "FYI, I'm reassigning these 30 tasks from John to Sarah due to workload rebalancing"
