Creating Tasks
There are two primary methods for creating tasks: Quick Add for speed and Full Modal for detail.
Method 1: Quick Add (Recommended for Most Tasks)
The quick add method is perfect for rapidly capturing tasks during brainstorming or sprint planning sessions.
Steps:
- Navigate to any section on your taskboard (e.g., "To Do")
- Click the "+ Add task" button at the bottom of the section
- Type the task name in the inline input field
- Press Enter to create the task
- Continue typing and pressing Enter to add more tasks quickly

Method 2: Full Modal Creation
Use the full modal when you already know task details like assignee, due date, or description.

- Type the task name and press Enter (creates the task)
- Click on the newly created task card to open the task modal
- Fill in additional details:
- Description (rich text with formatting)
- Assignee (who's responsible)
- Due date (when it's needed)
- Priority (Low, Medium, High, Urgent)
- Time estimate (hours or days)
- Layer assignment (if using layers)
Alternatively (for boards that support it):
- Some boards have a "+ Detailed Task" button that opens the modal immediately

Every task appears as a card on your board. Here's what each element means:

Card Elements Explained
Priority Indicator (colored dot or border):
- 🔴 Urgent - Red (needs immediate attention)
- 🟠 High - Orange (important, do soon)
- 🟡 Medium - Yellow (normal priority)

Assignee Avatar:
- Shows who's responsible for the task
- Hover to see full name
- Empty state shows "Unassigned"
Due Date:
- Format: "Due MMM DD" or "Due Today"
- Color changes as deadline approaches:
- Normal: Gray text
- Due soon (within 3 days): Orange
- Overdue: Red with warning icon
Layer Badge:
- Only appears if task is assigned to a layer
- Shows layer name (e.g., "Sprint 4" or "Phase 2")
- Click to filter board by that layer
Checklist Progress:
- "X/Y checklist items" format
- Green checkmark when all items complete
- Click card to manage checklist items
Comments:
- Shows total comment count
- Includes system comments (assignments, moves)

Progress Bar:

Editing Task Details
Click any task card to open the task detail modal where you can edit all properties.

Quick Edit Shortcuts
You can edit many task properties without opening the full modal:
Inline Edits on Card:
- Change section: Drag card to different column
- Update progress: Some themes show inline progress slider
- Quick assign: Click assignee avatar to reassign
Keyboard Shortcuts in Modal:
- ⌘/Ctrl + Enter: Save and close
- Tab: Move between fields
- Escape: Close without saving (prompts if changes made)
- ⌘/Ctrl + K: Quick command palette
Bulk Edit (select multiple tasks):
- Hold Shift and click task cards to select multiple
- Right-click → Bulk actions menu
- Change assignee, priority, layer, or section for all at once
Moving Tasks Between Sections
Tasks flow through your workflow by moving between sections. There are several ways to move tasks:
Method 1: Drag and Drop (Recommended)
Steps:
- Click and hold on any task card
- Drag the card to the target section
- Drop the card in the desired position within the section
- Task automatically updates to new status
Visual Feedback:
- Card becomes semi-transparent while dragging
- Drop zones highlight when you hover over them
- Position indicator shows where card will land
- Real-time updates for all users viewing the board
💡 Tips:
- Hold Shift while dragging to copy instead of move
- Drop at top or bottom of section to control task order
- Drag cards between layers if layer view is active
Method 2: Task Modal Section Selector

- All selected tasks move together

- Moving all tasks from Backlog → To Do for sprint planning
- Bulk-completing tasks (move to Done section)

Task Progress Tracking
Track how much of each task is complete using progress percentages.
Setting Progress
Method 1: Manual Progress (default)
- Open task modal
- Find "Progress" slider in Details tab
- Drag slider or type percentage (0-100%)
- Progress bar updates on task card
Method 2: Checklist Auto-Progress
- Create checklist items in task
- Check off items as you complete them
- Progress calculates automatically:
- Formula:
(completed items / total items) × 100 - Example: 3 of 5 items = 60% complete

- Move task to section marked as "Completion Section" (usually "Done")
- Task automatically marks as 100% complete
- Completion timestamp recorded
- Can be undone by moving task back to non-complete section
Progress Indicators
On Task Cards:
- Progress bar at bottom of card (color-coded)
- Percentage text next to bar (e.g., "40%")
- Color coding:
- 0-33%: Red (just started)
- 34-66%: Orange (in progress)
- 67-99%: Yellow (nearly done)

Marking Tasks Complete
Completing tasks is one of the most satisfying actions in taskboard management!
Completion Methods
Method 1: Move to Done Section
- Drag task to "Done" section (or your board's completion section)
- Task automatically marks as 100% complete
- Completion timestamp recorded

Method 2: Set Progress to 100%

- Task remains in current section but marked complete

Method 3: Complete All Checklist Items

What Happens When You Complete a Task?
- ✅ Visual change: Task card shows green checkmark or complete badge
- ✅ Timestamp: Completion date/time recorded
- ✅ Activity log: "Completed by [User] on [Date]" entry added
- ✅ Notifications: Watchers notified of completion
- ✅ Dependencies: Blocked tasks may become unblocked

Reopening Completed Tasks
Need to reopen a completed task? Easy:
- Find the task in Done section
- Drag it back to an active section (To Do, In Progress, etc.)
- Task automatically becomes incomplete (< 100% progress)
- Activity log records "Reopened" event
Or:
- Open task modal
- Reduce progress below 100%
- Task unmarked as complete while staying in Done section
Deleting Tasks
Sometimes tasks become irrelevant or were created by mistake. Here's how to clean them up:
Deleting Individual Tasks
Steps:
- Open task modal by clicking task card
- Click more menu (⋮) in top right corner
- Select "Delete task"
- Confirm deletion in dialog box
- Task immediately removed from board
⚠️ Warning: Deletion is permanent and cannot be undone. All task data (comments, files, history) is lost.
Alternative: Archive Instead
- Move task to "Archive" section if available
- Keeps task data but removes from active workflow
- Can be retrieved later if needed
Bulk Delete
Steps:
- Select multiple tasks (Shift+Click to select range)
- Right-click on any selected task
- Choose "Delete selected tasks"
- Confirm bulk deletion
- All selected tasks deleted permanently
💡 Tip: Use filters to identify tasks to delete:
- Filter by: Created > 90 days ago + Status = Backlog
- Review filtered tasks
- Bulk delete irrelevant ones
Deletion Permissions
Who can delete tasks:
- ✅ Task creator - Can always delete their own tasks
- ✅ Board admins - Can delete any task on the board

Troubleshooting
"I can't create tasks"
