Archiving, Restoring and Deleting Taskboards
Archive or Delete?
| Archive | Delete | |
|---|---|---|
| The board and its tasks | Kept, unchanged | Removed, with its tasks, sections, layers and members |
| Where it shows | Under Archived in the Taskboards list | Nowhere |
| Can you undo it? | Yes, Restore brings it back as it was | No. Deleting is permanent |
When in doubt, archive. You can delete an archived board later. You can't get a deleted one back.
Who Can Archive, Restore or Delete a Board
The same people can do all three:
- A board in a project: that project's owner or admin.
- Any other board: the board's owner.
Board members and project editors can open and work on a board, but they can't archive, restore or delete it. If you try, Commander tells you why and leaves the board as it was.
Archive a Board
- Open Tools (⌘3) and choose Taskboards.
- Click the vertical three dots (⋮) at the end of the board's row and choose Archive.
- Confirm.
The board leaves the Taskboards list, which shows Active boards unless you choose otherwise. Its tasks, sections and layers stay exactly as they were.
Find Your Archived Boards
In Tools → Taskboards, set the Status filter on the left to Archived. Archived boards show an Archived tag next to their name. Choose Active and archived to see both together.
Restore a Board
- In Tools → Taskboards, set Status to Archived.
- Click the vertical three dots (⋮) at the end of the board's row and choose Restore.
The board is active again straight away, with everything it had when you archived it. There's no confirmation, because restoring loses nothing.
You can also ask One to restore a board, for example "restore the Q3 Launch board". The same people can restore through One as in Commander.
Delete a Board
- In Tools → Taskboards, click the vertical three dots (⋮) at the end of the board's row and choose Delete.
- Confirm.
Deleting removes the board and everything on it. It can't be undone. An archived board can be deleted the same way.
Several Boards at Once
- In Tools → Taskboards, tick the checkbox next to each board.
- Use the bar that appears above the list:
- Archive archives the active boards you ticked.
- Restore restores the archived boards you ticked.
- Delete deletes every board you ticked.
If some boards go through and others don't, Commander tells you how many weren't changed and why. Those boards stay ticked so you can see which ones they are.
Troubleshooting
"I can't see Restore (or Archive, or Delete) on a board." You're not the board's owner, and it isn't in a project. Ask its owner.
"I clicked Restore and got a permission message." The board is in a project, and you're not that project's owner or admin. Ask one of them, or ask to be made a project admin.
"My archived board isn't in the list." Check that Status is set to Archived or Active and archived, and clear any other filters.
